(Job #551563) Business Systems Analyst II, Systems Analyst, Salary Range: $6,492 -$9,458 (Step 1 – Step 20). Step placement will be determined based on relevant qualifications and professional experience. Step placement upon appointment is not expected to exceed Step 1 ($6,492 per month).

This is a full-time, benefited, exempt, permanent position with a one-year probationary period in the Financial Aid Department. Position Summary:

Working independently and under general direction of the Lead Systems Analyst and the Associate Director of Operations, the Systems Analyst will be a member of a team that is responsible for ensuring that day-to-day technical systems in the Financial Aid Office, including PeopleSoft, StudentForms workflow, file transfers with Federal agencies, and reporting needs, function properly, efficiently and in compliance with all federal, state and institutional rules, policies and regulations.

 

Key Responsibilities:

Computer Services

Responsibilities include, but are not limited to:

  • Assists with all functional and technical responsibilities involved in system implementation, integration with other systems, upgrades, and maintenance.
  • Tests business technology systems when new maintenance packs are delivered.
  • Reviews and analyzes financial aid processes, policies, and software, checking for proper functioning, accuracy, and consistency. Revises processes, configuration, and setup as needed to address issues found. determines adequate documentation, follows up for further information and suggests changes to policy, processes, and software.
  • Assists with system set up, testing, conversion, development of processes, both in written and oral format, providing user documentation and training to unit and appropriate university staff.
  • Develops, maintains, and coordinates detailed project plans for Common Management System (CMS) Financial Aid Module.
  • Identifies alternative strategies, methods, benefits, and costs for meeting objectives. Represents Cal Poly Humboldt in CSU -wide meetings, conference calls, and conferences related to CMS, PeopleSoft, and COD.
  • Works with functional leads and technical staff and assigns project tasks as appropriate.
  • Assists with the monthly reconciliation of the Direct Loan and Work-Study Programs between the Common Origination and Disbursement (COD) Center, Financial Aid Accounting and Financial Aid as required by the Department of Education; resolves any discrepancies and maintains reports for auditor’s purposes.
  • Assists with implementation of any upgrades for student information systems, as well as any new software programs, such as StudentForms workflow, NextGen Scholarship Manager, and other systems
  • Works closely with campus partners, especially Student Financial Services, to coordinate interconnected processes.

 

Ad Hoc Query and Report Support

Responsibilities include, but are not limited to:

  • Develops and runs ad hoc queries and reports using PeopleSoft Query Manager or other SQL tool.
  • Develops adequate controls to ensure proper system functioning and data integrity.
  • Responds to, investigates, and troubleshoots problems encountered by staff. Proposes solutions and workarounds to issues with Campus Solutions and the FA module specifically.
  • Works with a team of systems analysts in the daily imports and export of electronic Financial Aid records: new ISIRs, EDE corrections, Pell originations and disbursements, loan originations and changes, loan promissory notes and entrance counseling, and federal financial aid disbursements to the Common Origination and Disbursement Center (COD); reconciles any rejects or discrepancies
  • Implements new policies, procedures and business practices as needed for process improvement and to support the business needs of the office.
  • Researches problems/issues in PeopleBooks, HEUG resources, and Oracle product support.
  • Help with and ensure that inbound and outbound data integrations are functioning correctly and providing accurate information.

 

Support with External Systems

Responsibilities include, but are not limited to:

  • Processes External Award loading from Sponsored Programs, Cal Poly Humboldt Foundation, Next Gen Scholarship Manager, Athletics, etc. as needed.
  • Works collaboratively with a variety of university departments such as Student Records, Student Financials and Information Technology, as well as the larger Oracle SA community (both within the CSU system and outside the system) to stay abreast of current issues and solutions

  • Strong analytical skills in order to evaluate user and business needs as well as accurately interpret data to develop sound conclusions and recommendations.
  • Proficiency in using applicable software applications and business systems.
  • Knowledge of university and IT policies, processes, and procedures, as well as data privacy regulations.
  • Ability to provide lead work direction and training to others.
  • Ability to effectively communicate with a diverse population.

 

As related to the major responsibilities for this position:

  • Knowledge of PeopleSoft Administration System. 

Minimum Qualifications:

  • Equivalent to a bachelor's degree in a related field and two years of relevant experience.
  • Additional experience which demonstrates acquired and successfully applied knowledge and abilities shown above may be substituted for the required education on a year-for-year basis.
  • An advanced degree in a related field may be substituted for the required experience on a year-for-year basis.

 

Preferred Qualifications:

  • Experience in Financial Aid or Admissions and Records in an institution of higher education.
  • Experience with web-based data applications, including analyzing and implementing application processes.
  • Knowledge of financial aid eligibility, federal regulations, financial aid processes and scholarship systems.
  • Proficiency with the Federal Common Originations and Disbursement (COD) system, NSLDS, WebGrants, and FAA Access
  • Demonstrated experience with PeopleSoft Query
