Position Summary

San Diego State University is seeking a detail-focused Records Clerk (Administrative Analyst/Specialist Exempt I)to join our University Police Department. This role is responsible for processing, analyzing, and maintaining a variety of confidential law enforcement records with accuracy and integrity. The ideal candidate will bring strong analytical thinking, discretion, and a working knowledge of regulatory compliance in a fast-paced, confidential environment.

  • Records Management: Process and maintain law enforcement reports and records with precision and confidentiality.
  • Compliance & Analysis: Apply knowledge of regulations to ensure records practices meet legal and departmental standards.
  • Process Improvement: Evaluate current workflows, identify risks, and recommend enhancements to records systems.
  • Confidential Oversight: Handle sensitive information with discretion and uphold privacy and data security policies.

Position Information

  • Full-time (1.0 time-base), benefits eligible, permanent/probationary position.
  • Position is designated exempt under FLSA and is not eligible for overtime compensation.
  • Standard SDSU work hours are Monday – Friday, 8:00 a.m. to 4:30 p.m., but may vary based on operational needs.
  • The individual hired into this role will work on campus at SDSU in San Diego.

Department Summary

Safety and security is coordinated by University Police, through a force of 42 full-time sworn, 45 part-time police officers and 30 non-sworn support employees. Our police officers are graduates of a California Peace Officers Standards Training Academy with full arrest powers throughout the state.  They undergo continued training to upgrade their skills as well as first aid and CPR requirements.

University Police officers are armed. They conduct foot, vehicular and bicycle patrols on campus and in the adjacent community 24 hours a day, year-round.  Officers are responsible for reporting and investigating crimes and traffic accidents, enforcing state laws and local ordinances, responding to medical emergencies and all other incidents requiring police assistance.  Additionally, our police officers provide law enforcement services to over 200 special events each year.

Education and Experience

Entry to this classification requires general knowledge and skills in the applicable administrative and/or program field with a foundational knowledge of public administration principles, practices, and methods. This foundation would normally be obtained through a bachelor's degree and/or equivalent training and administrative work experience involving study, analysis, and/or evaluation leading to the development or improvement of administrative policies, procedures, practices, or programs.

Key Qualifications

  • High attention to detail when reviewing and entering data to ensure completeness, consistency, and compliance with reporting standards.
  • Ability to maintain strict confidentiality with sensitive law enforcement and personal information in line with departmental and legal requirements.
  • Skilled in interacting professionally and tactfully with members of the public, legal representatives, and law enforcement personnel, especially in situations involving sensitive or high-stakes requests.
  • Knowledge of Records Management Systems (RMS) and law enforcement databases: Familiarity with law enforcement records software such as Sun Ridge Systems, Mark43, Tyler Technologies, or similar systems used to enter, retrieve, and manage police records. Familiarity with law enforcement databases such as SDLaw, ARJIS, eSUN, or similar systems used to access law enforcement information.
  • Legal and Court Document Processing: Experience preparing and processing citations, subpoenas, court orders, and other legal records related to law enforcement activity.
  • Minimum one year experience working within a law enforcement agency is preferred.
  • Possession of a CA P.O.S.T. Records Clerk certificate is preferred.

Licenses/Certifications Required

Valid California Driver’s License or the ability to obtain one within 10 days of hire.

Compensation: Salary is based on your experience, education, and qualifications, within the department’s budget and equity guidelines.

  • CSU Classification Salary Range: $4,598-8,318/month; hiring salary not expected to exceed $5,500/month.
