Position Summary
The College of Health and Human Services (CHHS) is seeking an Administrative Support Coordinator II to provide centralized coordination and administrative support for graduate programs across the College, including its Joint Doctoral Programs (JDPs). Working closely with the Associate Dean for Research and Graduate Studies, this position helps keep critical graduate program processes, communications, records, and timelines organized and moving forward.
The Coordinator supports graduate programs throughout the student lifecycle—from recruitment and admissions through enrollment, academic progress, degree completion, and alumni follow-up. The position also provides dedicated administrative coordination for the Joint Doctoral Program in Interdisciplinary Research in Substance Use, including collaboration with UC San Diego, and contributes to Dean’s Office communications, events, and operations. This role is well suited for someone who excels at managing multiple priorities, navigating detailed administrative processes, building collaborative relationships, and ensuring important work is completed accurately and on time.
Key Responsibilities
- Graduate Program Coordination: Coordinate administrative processes, timelines, records, and communications across CHHS graduate and Joint Doctoral Programs, ensuring required activities are completed accurately and on schedule.
- Student Lifecycle Administration: Support processes spanning recruitment and admissions, enrollment, academic progress, degree completion, and alumni follow-up while maintaining organized records and tracking required actions.
- Joint Doctoral Program Support: Provide dedicated administrative coordination for the Joint Doctoral Program in Interdisciplinary Research in Substance Use, including collaboration with UC San Diego and support for examinations, course agreements, documentation, and student processes.
- Data & Records Coordination: Maintain graduate program tracking systems and coordinate the collection, organization, and reporting of student, alumni, academic, research, and career information in partnership with College and university units.
- Communication & Stakeholder Support: Serve as a central administrative resource for program directors, faculty, students, alumni, staff, College leadership, and external partners by communicating established processes, coordinating follow-up, and connecting stakeholders with appropriate resources.
- Administrative Problem Solving: Monitor deadlines and workflow, identify and resolve routine administrative issues, and coordinate with the Associate Dean or appropriate campus offices when matters require additional policy or program expertise.
- Dean’s Office Operations: Support College communications and email management, special events, front-office functions, and other administrative projects that contribute to the academic and research operations of CHHS.

Position Information
- Full-time, benefits eligible, permanent/probationary position.
- Position is designated non-exempt under FLSA and is eligible for overtime compensation.
- Standard SDSU work hours are Monday – Friday, 8:00 a.m. to 4:30 p.m., but may vary based on operational needs.
- This position is eligible for telecommuting up to one day per week, following a training period during which on-site presence is required.

The College of Health and Human Services (CHHS) faculty, through advising, teaching, and supervising, offers students a balanced education of academic study, field placement, clinical experiences, and research opportunities. CHHS consists of the following schools: the School of Speech, Language, and Hearing Sciences, the School of Nursing, the School of Social Work, the School of Exercise and Nutritional Sciences, the School of Physical Therapy, and the School of Public Health.

Education and Experience
Entry to this classification requires a fully functional knowledge of and skill in standard office procedures and practices, as well as an ability to understand and operate in a variety of organizational structures. Additionally, incumbents are expected to have a thorough knowledge of English grammar, spelling, and punctuation and be able to clearly communicate orally and in writing. Some positions may require a knowledge of business mathematics beyond basic arithmetic. The ability to use and quickly learn new office support technology systems and software packages is also a prerequisite.
These entry qualifications would normally be obtained through a high school program, technical/ vocational program, or their equivalents combined with several years of related office work experience.

Key Qualifications
- Experience in a higher education environment is preferred.
- Administrative experience supporting a graduate-level academic program is preferred.
- Strong attention to detail and experience maintaining accurate databases, tracking systems, spreadsheets, and program documentation.
- Strong organizational and project coordination skills, with the ability to manage multiple processes, deadlines, and priorities simultaneously.
- Experience working collaboratively across departments, programs, or organizations to coordinate shared processes and initiatives.

Compensation and Benefits

Compensation: Step placement will be determined based on relevant qualifications and professional experience, in alignment with the department’s budget and equity guidelines.
- Initial step placement is not expected to exceed Step 1 ($4,367 per month).
- Salary step placement for internal applicants will follow the CSUEU Collective Bargaining Agreement.
- CSU Classification Salary Range: $4,367 - $6,362 per month (Step 1 – Step 20[EH1] ).
- Future increases, including step advancements, are subject to contract negotiations.
