Position Summary
San Diego State University is seeking an organized and detail-oriented Special Events Support Coordinator to provide administrative, scheduling, equipment, vehicle, and billing support for the Special Events Unit. This role helps ensure events are properly staffed, equipped, documented, and coordinated to support successful public safety operations.
Key Responsibilities
- Special Event Scheduling, Coordination & Documentation
- Manage personnel schedules, assignments, vacancies, overtime records, and staffing adjustments for special events.
- Coordinate with event organizers and campus partners to gather event details, communicate changes, and ensure planning information is complete and timely.
- Maintain event calendars, rosters, briefing reports, operations plans, and other documentation needed to support event operations.
- Special Events Equipment & Inventory
- Coordinate the preparation, distribution, tracking, collection, and breakdown of equipment and supplies for special events.
- Maintain accurate inventory records and ensure equipment is organized, operational, and ready for deployment.
- Identify equipment issues and recommend repairs, replacements, or purchases based on operational needs.
- Special Event Vehicle Coordination
- Coordinate fueling, cleaning, inspections, maintenance, and repairs to maintain Special Events Unit vehicle readiness.
- Prepare and deploy the Command Vehicle and associated equipment for designated events.
- Maintain vehicle records and provide on-site logistical support during special events.
- Special Event Billing Coordination
- Compile event details, staffing hours, overtime, and supporting documentation for accurate and timely billing.

Position Information
- Full-time, benefits eligible, permanent/probationary position.
- Position is designated non-exempt under FLSA and is eligible for overtime compensation.
- Standard SDSU work hours are Monday – Friday, 8:00 a.m. to 4:30 p.m., but may vary based on operational needs.
- The individual hired into this role will work on campus at SDSU in San Diego.

Department Summary
Safety and security is coordinated by University Police, through a force of 42 full-time sworn, 45 part-time police officers and 30 non-sworn support employees. Our police officers are graduates of a California Peace Officers Standards Training Academy with full arrest powers throughout the state. They undergo continued training to improve their skills as well as first aid and CPR requirements.
University Police officers are armed. They conduct foot, vehicle and bicycle patrols on campus and in the adjacent community 24 hours a day, year-round. Officers are responsible for reporting and investigating crimes and traffic accidents, enforcing state laws and local ordinances, responding to medical emergencies and all other incidents requiring police assistance. Additionally, our police officers provide law enforcement services to over 200 special events each year.

Education and Experience
Entry to this classification requires a fully functional knowledge of and skill in standard office procedures and practices, as well as an ability to understand and operate in a variety of organizational structures. Additionally, incumbents are expected to have a thorough knowledge of English grammar, spelling, and punctuation and be able to clearly communicate orally and in writing. Some positions may require a knowledge of business mathematics beyond basic arithmetic. The ability to use and quickly learn new office support technology systems and software packages is also a prerequisite.
These entry qualifications would normally be obtained through a high school program, technical/vocational program, or their equivalents combined with several years of related office work experience.

- Strong organizational and time-management skills, with the ability to prioritize competing assignments and manage multiple special events simultaneously.
- Strong multi-tasking skills and the ability to adapt quickly to changing staffing, scheduling, and operational needs.
- High level of attention to detail and accuracy when maintaining schedules, overtime records, rosters, billing information, inventories, and event documentation.
- Proficiency with Google Workspace, Microsoft Office Suite, and Adobe Acrobat/PDF applications.
- Ability to learn and effectively use specialized scheduling and administrative systems, including departmental scheduling software and databases.
- Strong written and verbal communication skills, with the ability to coordinate effectively with department personnel, event organizers, campus partners, and outside stakeholders.
- Strong problem-solving skills and the ability to exercise independent judgment within established policies and procedures.
- Ability to maintain accurate records, track multiple deadlines, and follow assignments through to completion.
- Ability to handle sensitive personnel, operational, and financial information with discretion and confidentiality.
- Ability to work effectively in a fast-paced public safety environment and remain organized during large-scale or time-sensitive events.

Licenses/Certifications Required
Valid California Driver’s License or the ability to obtain one within 30 days of hire.

Compensation and Benefits

Compensation: Step placement will be determined based on relevant qualifications and professional experience, in alignment with the department’s budget and equity guidelines.
- Initial step placement is not expected to exceed Step 1 ($4,047 per month) for qualified candidates.
- Salary step placement for internal applicants will follow the CSUEU Collective Bargaining Agreement.
- CSU Classification Salary Range: $4,047 - $5,896 per month (Step 1 – Step 20).
- Future increases, including step advancements, are subject to contract negotiations.
