(555139) Admin Support Coordinator II, Administrative Support Coordinator, CSU Classification Salary Range: $4,367 – $6,362  per month (Step 1- Step 20), Anticipated Hiring Range: $4,367 - $4,454 per month (Step 1-2).

 Final salary placement is commensurate with experience, internal equity, and budget considerations.  

This is a full-time, benefited, non-exempt, 12-month pay plan, permanent position with a one-year probationary period in the Centers for Inclusive Academic and Career Success department.

Position Summary:

The Administrative Support Coordinator (ASC) performs a broad range of clerical, fiscal, and administrative duties supporting the daily operations of eight of the nine CIACE: Umoja Center for Pan African Student Excellence, El Centro Académico Cultural, Q Center, Dreamers Center, ADPIMENA Center, Diverse Male Scholars Center, Veterans Resource Center, and the Transfer Student Center (ITEPP does not fall under this position’s essential responsibilities).

 

The ASC works collaboratively with the Student Success Budget Coordinator to ensure fiscal accuracy, accountability, and compliance with university and CSU policies. Key responsibilities include coordinating fiscal transactions, maintaining budgets, reconciling ProCards, processing vendor payments, and preparing financial reports across multiple funding sources. The position also provides administrative support coordination for travel, payroll, procurement, and events.

 

Key Responsibilities:

Budget Coordination Support – 30%

  • Works closely with the Student Success Budget Coordinator to ensure fiscal accuracy, accountability, and compliance with CSU and university policies.
  • Coordinates and monitors fiscal transactions across the Centers for Inclusive Academic & Career Excellence (CIACE), including shadow budgets, ProCard reconciliations, reimbursements, requisitions, and purchase orders.
  • Prepares and reviews financial reports, assists with forecasting, and supports long-term budget planning.
  • Maintains accurate financial records and documentation for internal and external audit purposes.

Administrative Operations Support – 30%

  • Oversees daily administrative operations for CIACE, including payroll processing, travel coordination, procurement, inventory management, and maintenance requests.
  • Ensures consistent communication and collaboration among Center departments and campus administrative offices (i.e. Accounts Payable, Procurement, Payroll, etc.).
  • Maintains office systems and processes to support efficient operations and compliance with institutional requirements.
  • Provides administrative guidance to Center Coordinators and staff to ensure adherence to university procedures.

 

Event and Program Coordination Support – 25%

  • Supports the planning, budgeting, and implementation of Center and departmental events.
  • Coordinates logistics such as room reservations, catering, and purchasing needs.
  • Assists with event budget reconciliation and post-event reporting.
  • Collaborates on outreach and marketing efforts to promote programs and events that foster student engagement and belonging.
  • Provides support and editing for website content and updates.

Grants and Funding Administration Support – 10%

  • Assists coordinators, student staff, and registered student organizations with campus and other grant submissions, monitoring expenditures and reporting.
  • Ensures compliance with institutional and funding guidelines.

Minimum Qualifications:

  • High school program, technical/vocational program, or their equivalents combined with several years of related office work experience.
  • Equivalent of three years of full-time, progressively responsible experience in general office clerical work, including direct public contact, word processing and spreadsheet applications in a microcomputer environment.

 

Preferred Qualifications:

  • Prior experience working in higher education
  • Prior experience working with affinity centers
  • Prior experience with grant writing and expenditure processes
  • Prior experience with Google Suite (Google Sheets, Google Forms, Google Docs, etc)
