
Job Summary
Reporting to the Director of Resources and Operations (DRO) of the College of Social Sciences (COSS) and receiving work direction from the Senior College Financial Resource Analyst and the College Administrative Analyst, the Associate College Resources Analyst provides financial, travel, procurement, faculty appointments, evaluations, and class scheduling support to the College of Social Sciences. Under general direction, the Associate Resources Analyst compiles and tracks financial data for the College of Social Sciences and has responsibility for the coordination of the COSS SJSU Online, Winter/Summer Intersession and Special Sessions programs. Responsibilities include processing temporary faculty appointments, administrative tasks associated with faculty recruitment and evaluation; assisting the college departments with maintaining the CoSS department’s SJSU Online and PaCE program budgets; assisting departments with inputting class schedules; tracking enrollments to ensure positive revenue and assisting departments with administrative tasks when needed. This position serves as the first point of contact in the Dean’s office to assist visitors and works with various campus entities as needed.
Key Responsibilities
- Responsible for downloading and filing the account statements for all COSS Dean’s Office level Tower and Research accounts, and inputting transactions into the expense tracking file.
- Ensures that funds are spent in compliance with Fund MOUs requiring knowledge of restrictions and guidelines
- Secondary reporting responsibility for tracking and reconciliation of Tower and Research funds
- Secondary reporting responsibility for tracking and reconciliation of State Operating funds.
- Collaborate with Senior Financial Analyst to prepare Dean’s Executive level summary reports for Tower/Research accounts and Stateside funds on a quarterly basis.
- Responsible for following the SJSU, ABSO and COSS travel guidelines, and using the authorized campus systems to verify and process requests for travel authorization and expense claims to reimburse employees with Tower, Research, and stateside funding
- Prepare and process purchase requisitions, direct pay and reimbursement claims.
- Interact with vendors, purchasing, employees and accounts payable to complete all requests
- Prepare and process Scholarships for Dean’s office accounts in compliance with relevant policies and procedures.
- Provide scholarship schedule information to COSS Departments Administrative staff to ensure paperwork for their own department/school scholarships are prepared, submitted and processed to meet financial aid deadlines
- Serves as backup to Senior Financial Analyst as liaison to the Academic Affairs Budget Office (ABSO) and to Finance and Business Services (FABS)
- Evaluate instructional and non-instructional faculty assignments and calculate distribution to ensure compliance with University policies and procedures
- Log faculty additional work, assigned time, release time, and grants
- Prepare faculty special consultant appointments in compliance with relevant policies and procedures
- Assist DRO and departments with faculty, MPP, and staff recruitments
- Provide support to Dean, DRO, and Associate Deans for temporary faculty evaluations, range elevation, and assigned time processes
- Collaborate with College Administrative Analyst with scheduling, and faculty/academic student assistants/volunteer appointments for SSCI 101
- Collaborate with College Administrative Analyst on student appointment processes for the college
- Serves as backup to the College Administrative Specialist as liaison to Faculty Affairs and Academic Scheduling
- Maintains the College budget expense tracking file for college level special sessions salaries and expenses
- Reconciles with Data Warehouse to ensure accuracy of information
- Collaborates with Senior Financial Analyst on preparing College level Special Sessions budget projections
- Assists department analysts with maintaining their own department special session budget expense tracking files and with preparing quarterly budget projections
- Ensures department administrative staff run break even analysis to ensure programs net positive revenue to the College
- Prepares budget and expense transfers for special session programs
- Act as a front-line support to the Dean’s Office Team

- Ability to perform accurately in a detail-oriented environment
- Working knowledge of accounting structure and expense accounts.
- Ability to analyze data and make accurate projections using business mathematics and basic statistical techniques.
- Ability to extract information from financial software and understand interactions between various funds and accounts.
- Ability to monitor computerized accounting records and to research and correct computer data errors.
- Knowledge of basic methods and procedures for research and statistical analysis and the ability to apply them.
- Ability to handle multiple work priorities, organize and plan work and projects, including handling multiple priorities simultaneously.
- Ability to maintain confidentiality and appropriately handle sensitive communications with employees and external agencies
- Excellent oral, written, and interpersonal communication skills and comfort in public speaking to diverse audiences

Required Qualifications
- A bachelor's degree and/or equivalent training
- Administrative work experience involving study, analysis, and/or evaluation leading to the development or improvement of administrative policies, procedures, practices, or programs
Preferred Qualifications
- Bachelor’s Degree in a related field
- Two years of hands-on experience in financial data collection, analysis, and reporting to support informed decision-making
- Proficient in financial systems including PeopleSoft/Oracle or comparable enterprise resource planning (ERP) platforms
- Advanced skills in Microsoft Office, particularly Excel (including pivot tables), as well as Google Workspace tools (Docs, Sheets)
- Two years of experience managing academic operations such as course scheduling, faculty appointments (both temporary and permanent), recruitment coordination, and Faculty Services/HR functions
Compensation
Classification: Administrative Analyst/Specialist; Non - Exempt
Anticipated Hiring Range: $5,300/month - $5,663/month
CSU Salary Range: $3,879/month - $7,488/month
