POSITION SUMMARY:

Under the guidance of the Associate Director, Operations & Services (ADOS), the Coordinator, Facilities Planning is responsible for coordinating a wide variety of renovation and construction projects involving carpentry, electrical, HVAC, glazing, concrete, masonry, roofing, tile, painting, insulation, plumbing, demolition, etc. This position is also responsible for performing a variety of moderate to complex administrative duties in support of the Operations and Services area.

ESSENTIAL DUTIES:

  • Monitor in conjunction with Associate Director, Operations & Services, all aspects of the USU renovation and facilities related projects including bids, job walks, project management, furniture, fixture & equipment procurement, construction timelines, requests for information, change orders, etc.;
  • Assist in ensuring the effective operation, maintenance, renovation and upkeep of all USU facilities and equipment;
  • Assist in coordinating major building repair/replacement projects, including remodeling, refurbishment and expansion projects;
  • Assist in coordinating periodic major needs assessments and surveys to ascertain campus views, customer satisfaction and perceptions of the USU and its facilities and services; coordinate research regarding new and improved facilities and services;
  • Assist in monitoring contractors to ensure the safety of USU employees and guests during construction;
  • Gather information and prepare and submit general and professional services contracts, contract amendments, risk assessments, campus chargebacks, Request for Proposals, and requisitions and purchase orders;
  • Prepare and/or confirm accuracy of documents such as architectural plans, job specifications, contracts, insurance requirements, USU Standard Agreements, etc.;
  • Coordinate, attend and may facilitate a wide variety of planning, design, construction and project meetings involving architects, contractors, CSUN Facilities, Planning, Design & Construction (FPDC), vendors, campus community members and USU staff;
  • Assist with updating the Capital Outlay budget and Major Repair and Replacement (R&R) Fund;
  • Maintain facility records including 30-year plan and prepare progress reports on projects;
  • Assist with maintaining the Operations and Facilities Planning annual operating budget;
  • Communicate information regarding project status to USU staff, Board members, and campus community via in-person and virtual modalities including web updates, presentations, and written reports, etc.;
  • Assist with inspections and evaluations of projects;
  • Insure ADA and building code compliance with pertinent safety and building codes and regulations;
  • Conduct needs assessments relative to operations, programs and services impacted or likely to be impacted by construction;
  • Prepare project reports, presentations, meeting minutes and general correspondence;
  • Coordinate all aspects of facility site visits from other campuses;
  • Perform other related duties as assigned.

QUALIFICATIONS:

Education:
Equivalent to graduation from a four-year college or university with a bachelor’s degree in construction management, engineering or related field. 

Experience
Equivalent to one-year experience in project management, construction management or related experience and may be substituted for the required education.

-Experience working in a student union, recreation, or related higher education/non-profit organization. 

Knowledge, Abilities and/or Skills:

  • General knowledge of the methods of organizational and facility management
  • General knowledge of business writing, including grammar and spelling
  • General knowledge of budgets, purchasing processes and budgetary control systems

  • General knowledge of and ability to perform a wide variety of assignments ranging in complexity and requiring judgment, analysis and decision-making
  • Ability to interpret and apply University and University Student Union rules, regulations, policies and procedures
  • Ability to read and understand blueprints and technical drawings

  • Ability to communicate effectively in English, both verbally and in writing

WORKING CONDITIONS:

Work is generally performed in both indoor and outdoor environments in possible inclement weather conditions. Time management skills required with ability to adhere to deadlines. Position requires daily public contact.

PAY, BENEFITS AND WORK SCHEDULE:

This position is employed through University Student Union (USU). The USU offers an excellent benefits package including Medical, Dental & Vision insurance, Life Insurance, Vacation, Sick Leave, 14 paid Holidays, company sponsored retirement program and more.

The anticipated hiring range will be as follows and is dependent on experience and qualifications:

Hourly:                $22.80 - $27.89

Bi-Weekly:           $1,824.00 - $2,231.08

Annually:             $47,424.00 - $58,008.00

The salary range of the position is as follows:

Hourly:                Minimum: $22.80           Maximum: $27.89

Bi-Weekly:           Minimum: $1,824.00      Maximum: $2,231.08

Annually:             Minimum: $47,424.00    Maximum: $58,008.00
