Position Summary

The Dean’s Office Analyst provides advanced project management, program management, and administrative support to the College of Continuing Education (CCE) Dean and Dean’s Office team. Primary functions of this role include extensive project management, as well as event and media planning, organization and implementation. The incumbent is responsible for high-level interactions with multiple partners including but not limited to community and business representatives, CSU and Sac State administrators, faculty, staff, and students. As a part of these interactions, the incumbent will receive and disseminate sensitive and confidential information that must be treated with a significant level of judgement and discretion. The incumbent must be able to adapt to rapidly changing priorities, utilizing excellent organization and communication skills, and demonstrate consistent professionalism and sound judgement.
The Dean’s Office Analyst must understand the region’s business, government, and education ecosystem and can successfully work within the intersection of workforce development, economic development, and higher-education.

FLSA: Exempt (Not eligible for overtime compensation)

Anticipated Hiring Range: $5,537 per month - $7,775 per month, commensurate with candidate's education, experience, skills, and training.

CSU Classification Salary Range: $5,537 per month - $10,014 per month

Work Hours: Work hours are established within CCE's operating hours of Monday-Friday, 7 a.m.-6 p.m.

Department Information 

The College of Continuing Education (CCE) extends the mission of the university by increasing access for non-traditional learners. With a primary expertise on serving adult learners, CCE provides programs and services to individuals and employers year-round, unbound by traditional semester schedules and formats. CCE serves a hybrid student body that extends beyond California, serving over 80,000 learners annually through in-person, hybrid and fully online workshops, courses, conferences, certificate and degree programs.

Minimum Qualifications 

Entry to this classification requires general knowledge and skills in the applicable administrative and/or program field with a foundational knowledge of public administration principles, practices, and methods. This foundation would normally be obtained through a bachelor's degree and/or equivalent training and administrative work experience involving study, analysis, and/or evaluation leading to the development or improvement of administrative policies, procedures, practices, or programs.

Required Qualifications 

Experience

  1. A demonstrated commitment to fostering diversity, equity, and inclusion.
  2. Extensive experience and in-depth knowledge of all aspects of coordinating clerical and administrative support functions and/or performance of administrative work in a complex academic, administrative or program office.
  3. Demonstrated ability in planning projects and scheduling multiple calendars with the ability to effectively manage time, due dates, and shifting priorities.
  4. Extensive experience and in-depth knowledge of community outreach, marketing, or public relations.
  5. Extensive experience in analyzing complex information, problem solving, and making data-informed recommendations.
  6. Demonstrated ability with large scale, complex projects with broad, visible impact that involve coordination with other departments in terms of planning and implementation.
  7. Extensive experience and in-depth knowledge with coordination of events such as stakeholder meetings, professional gatherings, workshops, and community engagement activities.
  8. Experience using standard office software programs (MS Word, Excel, PowerPoint, Access, Internet Explorer)

  7. Ability to effectively respond to all inquiries and requests related to CCE and the dean’s office and troubleshoot any problems.
  8. Ability to analyze problems and develop, recommend, and evaluate proposed solutions from a broader perspective, as well as anticipate the impact of problems and solutions on other areas.
  9. Ability to maintain confidentiality.
  10. Ability to perform business math, analyze budgetary data, and make accurate projections.
  11. Ability to effectively write and present briefings, executive summaries, and reports.
  12. Ability to use negotiation and persuasion skills to achieve results and expedite projects.
  13. Ability to provide lead work direction to staff, students, and diverse professionals.

Preferred Qualifications

  1. Baccalaureate, associate degree, administration certificate, or other equivalent credentials or experience.
  2. Five or more years’ experience working with a high-level administrator in an educational or similar setting or in a complex business environment.
  3. Direct experience and knowledge of working in an educational and/or university environment.
  4. Experience using PeopleSoft (Common Management System) Acrobat Sign, Zoom, Adobe, Concur (travel), and Visio (workflow processing).
