The CSU Chancellor's Office, located on the waterfront adjacent to the Aquarium of the Pacific in downtown Long Beach, is the headquarters for the nation's largest and most diverse system of higher education. Salary

The anticipated salary hiring range is up to $7,566 per month, commensurate with qualifications and experience.

The salary range for this classification is $5,158 to $12,730 per month.

Position Information

The Productivity Services Team at the Office of the Chancellor is seeking a dynamic Business Technology Analyst. This is an exciting opportunity for a solution-oriented independent thinker to apply technical expertise and thoughtful judgment in support of process optimization efforts, making a significant impact across the California State University System.

The Business Technology Analyst will collaborate with systemwide users to support and develop new processes and solutions using tools such as ServiceNow, SharePoint Online, Adobe Sign, QuestionPro, and the M365 suite of applications. In this role, the Business Technology Analyst will be a key player at the intersection of technology and business, serving as the customer-centric face of Productivity Services and blending technical knowledge with a deep understanding of business needs.

This position is approved for telecommuting (two days telecommuting, three days in office (in-person)) with onsite work at the main headquarters located in Long Beach, California.

Responsibilities

Under the general direction of the Productivity Solutions Manager, the Business Technology Analyst will perform duties as outlined below:

Analyze, review, and document business requirements:

-Coordinate several projects simultaneously, ensuring timely delivery while balancing competing priorities. Skilled in setting project goals, defining deliverables, and tracking progress through tools like Microsoft Teams, Excel, SmartSheet, other Office365 Suite of applications.

-Maintain accurate project documentation, track milestones, manage change requests, and ensure compliance with governance standards.

-Clearly convey project updates and technical information to stakeholders and team members.

-Consolidate project metrics by gathering data from various sources, analyze trends and performance using Microsoft Excel, and generate comprehensive reports with the help of CoPilot and ChatGPT. Leverage advanced Excel functions and data visualization tools to present insights that support strategic decision-making.

-Engage with business stakeholders to identify, assess, and document requirements for SharePoint, ServiceNow, InfoPath, and Office System solutions. Facilitate workshops and interviews to gather insights, ensuring a thorough consolidation of needs that align with project objectives and scope.

-Collaborate with systemwide users to document business processes, conduct team interviews, and identify bottlenecks, while developing effective workflows using productivity tools to enhance efficiency.

-Develop comprehensive solution documents and detailed diagrams that outline end-to-end business process. Create project artifacts, including project charters and status reports, and design solution test plans to ensure thorough validation. Additionally, support the development and execution of user adoption strategies, such as training sessions and support materials, to facilitate seamless transition and enhance user engagement.

-Prepare and deliver engaging demonstrations of solutions to systemwide audiences, showcasing key features and benefits tailored to their needs. Utilize interactive presentations and real-life use cases to illustrate the value of Productivity Solutions. 

-Communicating and coordinating to support change management processes and collaborating with various internal, systemwide, and external teams.

-Analyze data trends within productivity tools to identify patterns and uncover opportunities for growth and process enhancements. Utilize data visualization techniques to present findings, enabling informed decision-making and targeted improvements.

Productivity Technology Administration Support:

-Develop detailed test plans that outline testing scenarios and success criteria ensuring thorough solution testing and validation.

-Collaborate with cross-functional teams, developers, and administrators to troubleshoot and resolve identified issues, confirming the functionality and performance of the solution for seamless integration and optimal results.

-Identify opportunities for process enhancements across Productivity Services technology stack including but not limited to SharePoint, ServiceNow, QuestionPro, AdobeSign, and M365 Suite.

-Work effectively with cross-functional teams, including developers, designers, and site owners.

Design and Develop Solutions:

-Present technical content clearly and concisely to both technical and non-technical stakeholders.

-Support complex technical requirements gathering tasks, exploration of issues, and supporting development of technical processes, workflows, and forms.

Special Projects:

-Determining requirements, supporting customer journey mapping, end-user adoption planning and content development, selecting and implementing new tools and technologies for special projects as needed.

-Research, evaluate, and support the documentation development for selecting new tools and technologies to meet project and business needs.

-Create, update, and maintain detailed documentation for new tools and technologies.

-Supporting special projects from the planning phase through to execution, including troubleshooting and providing post-implementation support.

Other Duties Assigned:

-The Business Technology Analyst is also responsible for any other duties assigned.

-Stay up to date with industry advancements, including emerging technologies, trends, and best practices. This includes proactively seeking out learning opportunities and applying new knowledge to improve processes and outcomes.

-Support the development and maintenance of technical documentation for project and departmental updates as needed.

-Effectively prioritize workload, ensuring deadlines are met while recognizing when to seek support or resources to maintain progress.

-Demonstrate a collaborative mindset, actively contributing to team efforts and helping colleagues when needed. A strong sense of self-motivation and accountability is essential, with the ability to take ownership of assigned tasks from start to finish.

Qualifications

This position requires:

-This position requires a bachelor's degree in Business Administration, Information Management Systems, Computer Science, or a related field (or equivalent combination of education and experience).

-Minimum 2 years project experience, or equivalent experience in a related field is required.

-Minimum 3-5 years gathering technical and business process requirements.

-Strong project documentation and governance processes expertise is required.

-Strong written and verbal communication is required.

-Strong analytical and troubleshooting skills are required.

Preferred Qualifications

-Certification in Project Management (e.g., Project Management Professional (PMP), PRINCE2) or equivalent experience is highly desirable.

-Certifications related to business analysis (e.g., Certified Business Analysis Professional (CBAP)) are a plus.

-ServiceNow Certified System Administrator or ServiceNow Certified Implementation Specialist certifications are highly desirable.

-SharePoint Administrator Certificate is highly desired.

-Utilizing Web development tools such as Visual Studio and SharePoint Designer is preferred.

-Familiarity with SharePoint Designer, PowerApps, and PowerAutomate is preferred.

-SharePoint Online and SharePoint on premise development experience is preferred.

-Understanding of procedural programming and object-oriented programming styles to support technical processes across the range of Productivity technologies, is preferred.

-Experience with application program development including analysis, design, coding, and database development, is preferred.

-Experience with Camtasia Video editing or other video editing tools is preferred.

-Strong skills in Microsoft Office Productivity Suite (Word, Excel, Power Point, Outlook, and Visio).
