(Job #543166) Administrative Analyst/Specialist E-I, Outdoor Adventures Program ANalyst, Hiring Range: $4,598 - $4,900. This is a full-time, benefited, exempt, 12-month pay plan permanent position with a one-year probationary period in Athletics. Position Summary:

The Outdoor Adventures Program Analyst coordinates the daily operation of the Outdoor Adventures program, Aquatics Programs, and programming that supports Cal Poly Humboldt’s Academic and Engagement groups and assists with oversight of the Equipment Room. This includes program development, risk management, creating curriculum for experiential learning, planning and professional development, responsibilities in training and lead oversight of a student team of Outdoor Adventure Leaders, Assistants, Interns, and other part-time staff as well as coordination of the logistics for the Outdoor Adventures, Aquatics Programs; and monitoring the equipment rental program.

 

Key Responsibilities:

 

Activities Programming and Logistics

  • Program development, planning outdoor activities, and research, assess and/or identify area information associated with activities.
  • Schedules Outdoor Adventure, Certification, Leisure, Virtual, and Aquatics programs that effectively meet the needs of the campus community.
  • Responsible for working with the appropriate Cal Poly Humboldt staff to secure facilities, vehicle schedules, and technical equipment needed for programming support.
  • Assists Associate Director of Campus Recreation in the preparation of budget materials and is responsible for reporting for Outdoor Adventures, Leisure, Aquatics, and additional programming areas.
  • Responsible for recommending to the Associate Director of Campus Recreation appropriate development and maintenance of Activities program policies and procedures, to include leadership and risk management.
  • Responsible for implementing Summer Youth Aquatics Camp including program development, recruitment, hiring, training, and scheduling. Ensures programs are operating safely and effectively.
  • Responsible for other special programs and events, including the development of school group and youth at risk activities, and programming for Cal Poly Humboldt’s Orientation, Diversity Programs, Academic departments, and additional private/custom trips for the greater community.
  • Provides lead oversight for Student workers performing the daily tasks for Outdoor Adventure and Aquatics programs.
  • Advises student assistants and trip leaders regarding policies, general procedures and risk management procedures established by Activities policy. Such as vehicle and trailer inspections, driving logs, VHF radio, and equipment checks.
  • Prepares risk management materials, coordinates training of Activities Outdoor Adventures/Aquatics staff regarding policy, leadership and risk management concerns and other issues. Handles incident and accidents, conducts investigations, reviews past accidents and incidents for program safety and makes changes accordingly.
  • Works with campus and local community organizations to develop and expand upon programs and special events offered via Activities program areas, i.e. the Humboldt Orientation Program, residence halls, campus clubs and programs, and other leadership programs and community groups.
  • Works closely with academic programs and/or departments that offer professional training, such as boating safety, instruction, provides professional development opportunities, and experiential learning.
  • Responsible for adherence to permits and maintaining positive interactions with land use agencies, i.e. Forest Service, Bureau of Land Management and State and County parks.
  • Responsible for tracking staff certifications for CPR/First Aid, Commercial Drivers Licenses, and additional certifications that support safety and professional development.
  • Lead oversight of all trip planning logistics.
  • Assists with planning and execution of special events.

 

Record Keeping/Clerical

  • Generates cost analysis, financial projections, analysis, financial proposals/grants, contracts/agreements, and invoices and/or payments related to programs.
  • Responsible for Monitoring registration, tracks enrollment numbers and assists student staff with procedures.
  • Responsible for Monitoring liability waivers for Cal Poly Humboldt/Outdoor Adventures, the Forest Service and other programs.
  • Reserves facilities and outdoor spaces associated with activities.
  • Maintains files for all Outdoor Adventures programs including pre- and post-trip participant records, vehicle rosters, trip evaluations and risk management reports.
  • Maintains and submits employee payroll records.
  • Maintains documents regarding staff schedules and instructor qualifications.
  • Monitors files and database systems on all Leisure Activity & Outdoor Adventure and Aquatics leaders and assistant leaders, including qualifications, experience, training, and historical information related to programs that have been led or organized.
  • Maintains database system for the leisure, outdoor and aquatic program registrations.
  • Prepares trip and expense report including but not limited to, mileage reimbursement, receipts, carpool releases, permits, incident and other paperwork related to outdoor activities.
  • Prepares semester-end reports and year end reports.
  • Prepares and edits information to be included in the Outdoor Adventures catalog/website.
  • Identifies and maintains appropriate concession or retail items for Outdoor Adventures

 

Lead Oversight for Student/Casual/Intermittent Hourly Employees

  • Shares responsibility for recruiting, interviewing, hiring, training, and evaluating
  • Creates and coordinates work schedules
  • Monitors timekeeping systems
  • Provides feedback for performance improvement to the Associate Director
  • Communicates payroll timeline and procedures to employees.
  • Collects payroll documents such as missed punch logs and Employee Data Sheets. Submits payroll documents.
  • Vouches payroll documents for accuracy and adherence to procedure.
  • Audits absences (timekeeper function)

 

Public Relations

  • Develops public relations goals to extend the existing programs into the local and on-campus communities.
  • Establishes and maintains contacts in the local community to assist in the promotion of the programs and arranges media presentations.

  • Ability to perform, instruct, assist, and supervise a wide range of outdoor adventure and aquatic activities
  • Working knowledge of and ability to apply standard theories, principles, practices, and techniques applicable to Recreation Adventure Activities to develop conclusions and make recommendations
  • CPR, First Aid certification

 

Minimum Qualifications:

Entry to this classification requires general knowledge and skills in the applicable administrative and/or program field with a foundational knowledge of public administration principles, practices, and methods. This foundation would normally be obtained through a bachelor's degree and/or equivalent training and administrative work experience

involving study, analysis, and/or evaluation leading to the development or improvement of administrative policies, procedures, practices, or programs.

 

Preferred Qualifications:

  • Experience in working with youth
  • Wilderness First Responder, Waterfront Lifeguard
  • Specific outdoor skills in one or more areas: surfing, backpacking, kayaking, climbing, skiing, sailing, and rafting
  • Bachelor’s degree in a related discipline such as Recreation or Physical Education
  • Four years of progressive experience in recreation student programming and outdoor leadership development
  • Two years of experience in recreation student programming and outdoor leadership development
