    • Position Summary
    • Full-time position available on or after February 14, 2022 for University Police.

       

      Under general supervision of the Police Captain or Lieutenant, the incumbent is responsible for front counter customer service and support for daily University Police operations which include PMB, Live Scan and Parking operations. Front counter responsibilities include handling customer inquiries and transactions in person and via telephone. Services and support transactions provided to the public include cashiering, phone inquiries, parking citation inquiries and payment of fines, Live Scan and traditional ink fingerprinting, maintaining a cash drawer, and reconciling daily deposits. The incumbent may also assist UPD field operations at special events by providing support at a field command post or other location as appropriate.

      The position also entails use of various computer programs and databases, including Parking Management Bureau (PMB) data entry and assisting with PMB client support and UPD support services; providing problem resolution, technical issue support, account inquiries, citation review and summary reports.



    • Job Duties
    • Duties include but are not limited to:
      • Performance of the full range of administrative clerical support and customer relations functions for the University Police Support Services Division, campus parking, and University Police Services.
      • Responsible for accurate and efficient use of computer programs and entry into data bases, including Cash Net, People Soft, Live Scan, Parking Management, Excel, Word, and File Maker.
      • Monitoring the department’s email and voicemail box. Respond and forward accordingly.
      • Receives, responds to, and provides assistance with questions, requests, or complaints.
      • Assess and make recommendation for improvements regarding office work-flow, functions, procedures, and processes.
      • Accountable for own work results and daily client services operations.
      • Receives fees, fines, and payments via various methods.
      • Ensures accurate financial balances daily prior to deposit or transfer.
      • Assist with the Live Scan fingerprinting program.
      • Perform non-emergency radio communications.
      • Lead responsibilities for front office student assistants including time cards, scheduling and work assignments.
      • Coordination of the front office student hiring process.
      • Provide general support and assistance at University Police field operations during special events.
      • Interact with students, staff and faculty that come to Public Safety for fingerprint services.
      • Provide fingerprint services for both traditional and Live Scan fingerprinting processes.
      • Give instructions and directions for the completion of fingerprint applications and verifying personal information.
      • Responsible for maintenance and accuracy of Livescan statistical reports, Department of Justice reports, client account invoice reports and ensuring records and files are maintained in accordance with applicable laws and regulations.
      • Organize and coordinate community outreach activities and giveaways including, but not limited to: New Student Orientation, Move-in Day, welcome booths, Warrior Wednesdays and Instagram giveaways.
      • Responsible for maintaining, creating and posting social media content in coordination with University Advancement, ASI, Warrior HUB, other campus departments and outside law enforcement.
      • Assist in coordination for the UPD Student Academy including managing incoming applications and communication between UPD and student participants.
      • Monitor and recommend updates for the department web page.
      • Provide phone, email and counter support for PMB/Parking citations and permit recipients.
      • Responsible for coordination and collaboration with front office student employees in support functions for PMB/Parking.
      • Other duties as assigned.
    • Minimum Qualifications
    • Education: Completion of a high school program, technical/vocational program, or their equivalents.

      Experience: Several years of related office work experience.

    • Preferred Qualifications

      • Undergraduate degree in Business Administration or similar field is desirable.
      • Ability to type accurately on a standard computer keyboard at a rate of 40wpm or greater.
      • Demonstrated interpersonal communication and collaboration skills, creative problem solving and a positive, supportive attitude are imperative.
      • Ability to address a wide range of problems that require judgment, initiative, and analytical skills, to develop thorough and practical solutions.
      • High standards of integrity and ethical behavior.
      • High level of accountability, judgment, and discretion to address and solve problems, as well as treat customers and co-workers with respect and professionalism.
    • Knowledge, Skills, Abilities

      • Experience to be fully functional in all technical aspects of work assignments.
      • Ability to understand and operate in a variety of organizational structures.
      • Thorough, detailed knowledge of applicable university infrastructure, policies, and procedures.
      • Thorough knowledge of English grammar, punctuation, and spelling. Ability to clearly communicate orally and in writing.
      • Ability to use and quickly learn new office support technology systems and software packages.
      • Thorough knowledge of office systems and ability to use a broader range of technology, systems, and packages.
      • Ability to independently handle multiple work unit priorities and projects.
      • Ability to apply independently a wide variety of policies and procedures where specific guidelines may not exist.
      • Working knowledge of budget policies and procedures.
      • Ability to perform standard business math, such as calculate ratios and percentages, track financial data, and make simple projections.
      • Ability to draft and compose correspondence and standard reports.
      • Ability to handle effectively a broader range of interpersonal contacts, including those at a higher level and those sensitive in nature.

    • Salary Range
    • Anticipated salary will be $3,276 – $3,604 per month plus excellent paid benefits. Salary will depend on the qualifications of the successful finalist. (Full Administrative Support Coordinator I range: $3,276 - $5,148 per month)
