    • Position Summary
    • Full-time temporary position available on or after December 15, 2021 and ending on or before December 14, 2022 in the Credential Services Office. Appointment will be made for one year from date of hire with the possibility of reappointment and/or becoming permanent based on budget, department needs, and job performance.

      Under general direction of the Dean, this position provides direct clerical support for the Credential Services Office by assisting with day-to-day activities, answering phones, routing correspondence, maintaining supplies and organizing and coordinating projects, events and activities. In addition, the incumbent is responsible for maintaining student data in both electronic and paper files. Maintain office budget and prepare annual list of credential candidates for commencement.

    • Job Duties
    • Duties include but are not limited to:
      • Screen and route phone calls.
      • Greet and direct visitors.
      • Oversee office mail operations.
      • Schedule appointments for pre-admission advising.
      • Maintain department filing system.
      • Update pre-admission, program, and completing credential student information and distribute as needed to students, staff, and faculty.
      • Maintain department website with all pre admission, program and completing credential student information.
      • Issue electronic and paper application receipts when new credential applications are received.
      • Assist credential analysts with documentation for the paperless procedure implementation.
      • Provide information about: Credential Services and programs offered at CSU Stanislaus; CBEST, RICA, CTEL/CLAD/BCLAD, CSET exams to students, faculty, and staff.
      • Review files for purging and enter information as need into department database.
      • Input information from Selection and Review Committee decisions into FileMaker database.
      • Receive BSR/SMC forms for current students and applicants and input information in corresponding logs for credential analyst approval.
      • Student Application Process: Using “WebAdmit”, download online credential program applications and supporting documents for new credential applicants.
      • After receiving online credential program applications, work with applicants to complete needed information, sort applications/documentation in individual subfolders, and input information into FileMaker database.
      • Once admitted code students by program and application admission status into PeopleSoft.
      • Sort applications for recommendation from students completing program into individual subfolders on Teams and input information in recommendation log and FileMaker database.
      • Review current applications for recommendation to verify that required documents have been submitted for recommendation to CCTC.
      • Enter student test/TPA scores into department FileMaker database.
      • Process student and program reports for faculty and staff.
      • Prepare list of Credential students for commencement ceremonies.
      • Track budget expenses that include: pro-card purchases, travel, requisitions, direct pay, and special consultant transactions.
      • Track and order office supplies and equipment as needed.
      • Initiate and follow-up on campus work orders.
      • Track and maintain property inventory.
      • Other duties as assigned.
    • Minimum Qualifications
    • Education: Completion of a high school program or its equivalent.

      Experience: Some experience in an office environment.

    • Preferred Qualifications

      • Equivalent of two years of general office experience.
      • Experience in higher education environment.
      • Experience with maintaining a working budget.
      • Knowledge of teacher credentialing process.
      • Working knowledge of FileMaker Pro.
    • Knowledge, Skills, Abilities

      • Experience to be proficient in performing most or all work assignments.
      • General working knowledge of applicable university infrastructure, policies, and procedures.
      • Thorough knowledge of office methods, procedures, and practices.
      • Ability to use standard office equipment. Typing and keyboard skills.
      • Fluency in using standard word processing and related computer software packages.
      • Ability to identify and solve standard problems and refer more complex problems to appropriate staff.
      • Thorough knowledge of English grammar, punctuation, and spelling.
      • Ability to learn, interpret independently, and apply a variety of complex policies and procedures. Able to identify deviations from applicable policies.
      • Ability to apply independent judgment, discretion, and initiative to address problems and develop practical, thorough and, at times, creative solutions.
      • Ability to perform standard arithmetic functions of a transactional nature, including tracking and comparing data.
      • Work often involves front line contacts with a variety of campus and community individuals requiring active problem solving and effective interpersonal skills.
      • Demonstrated competence in effectively presenting standard information in writing.
      • Demonstrated competence in understanding, interpreting, and communicating procedures, policies, information, ideas, and instructions.
      • A background check (which may include: fingerprinting, checks of employment records, education records, criminal records, civil records, motor vehicle records, professional licenses, and sex offender registries, as position requires) must be completed satisfactorily before any candidate can begin employment with the CSU.

    • Salary Range
    • Anticipated salary will be $2,912 – $3,494 per month plus excellent paid benefits. Salary will depend on the qualifications of the successful finalist. (Full Administrative Support Assistant II range: $2,912 - $4,592 per month)
